Reporting to the Sales Manager, the Sales Coordinator plays a key role in supporting the sales team by managing inquiries, coordinating group bookings, and ensuring a seamless experience for both internal teams and external clients. This position requires strong attention to detail, outstanding communication skills, and the ability to thrive in a fast-paced, guest-focused environment.
As a Sales Coordinator, you’ll get to:
- Manage and track incoming telephone, email, and online sales inquiries; assign to Sales Managers within a 24-hour turnaround.
- Assist Sales Managers in creating customized proposals, estimates, and formal contracts based on client needs.
- Support the preparation of weekly and monthly sales and forecasting reports.
- Generate and distribute reports using Opera Cloud Sales and Catering and other sales tools.
- Promote awareness of the hotel brand both internally and externally.
- Act as a key point of contact for clients; respond to inquiries and manage client requests via phone and email.
- Manage group bookings including processing turnovers, maintaining blocks, billing, and VIP arrangements.
- Oversee rooming lists, cut-off dates, and inventory updates; ensure accurate and timely follow-up.
- Coordinate with Guest Services and Revenue Teams to communicate group activity and update group inventory daily.
- Support client site visits, including preparing guestrooms and event spaces.
- Ensure all rate, deposit, and cancellation policies are clearly communicated to clients.
- Maintain clean and professional appearance; always uphold confidentiality and company policies.
- Collaborate with front desk and other hotel departments to ensure outstanding guest service delivery.
What we are looking for:
- Experience in administrative, sales support, or guest service role, ideally in hospitality.
- Previous experience managing group bookings, reservations, or sales processes in a hotel setting is highly desirable.
- Diploma in Tourism, Hospitality, or Business Administration considered an asset.
- Strong organizational, communication, and multitasking skills; high attention to detail.
- Proficiency in Microsoft Office Suite; experience with Opera Cloud, is an asset.
- Comfortable learning and using multiple software systems and tools to manage data and communications.
- Strong customer service orientation with a confident and courteous demeanor.
- Ability to build rapport and maintain positive working relationships across departments.
- Proven time-management skills, ensuring deadlines and follow-ups are consistently met.
- Excellent verbal and written communication skills, with the ability to interact professionally with clients, colleagues, and stakeholders.
- Team player, proactive, professional demeanor, excellent problem-solving skills.
- Bilingual in English and French is considered an asset.
