The Opportunity

We are looking for a Specialist, Marketing Events to join our passionate and collaborative team.  

Reporting into the Senior Manager, Marketing, you will provide support in overseeing the planning and execution of all events that support our business objectives. This is a permanent, full-time, position with a flexible work structure where team members can choose to work remotely or from the office, depending on residential location.

The Event Specialist will manage all event logistics, ensuring seamless execution, booth coordination, travel arrangements, activity planning, network communications, and swag inventory. This role requires strong project management, organization, and proactive communication skills to keep all stakeholders aligned and ensure a strong brand presence at every event

What You Will Love Doing:

Event Planning & Execution

  • Oversee the end-to-end planning for all industry, network, and corporate events with Corus participation.
  • Coordinate event logistics, timelines, budgets, and execution strategies.
  • Work with internal stakeholders and external vendors to ensure smooth operations.
  • Provide on-site event support, ensuring engagement, organization, and seamless execution.
  • Develop and maintain an event calendar to ensure alignment across teams.
  • Manage and build project boards (via Asana) for network/team visibility.

 

Conference & Booth Coordination

  • Manage booth logistics for industry conferences, including design, setup, and teardown.
  • Manage sponsorship logistics, including vendor coordination, contract execution, deliverable tracking, and on-site activation to ensure seamless sponsor integration at events.
  • Oversee shipping and tracking of swag, promotional materials, and booth items.
  • Coordinate event registrations, exhibitor logistics, and sponsorship fulfillment.
  • Arrange hotel, travel, and accommodations for team members attending conferences.
  • Ensure all event materials and brand assets are properly prepared and shipped on time. Support the creation and development of new materials when necessary.
  • Plan, organize, and coordinate team dinners and outings associated with conference attendance, including securing reservations, managing guest lists, sending calendar invites, adhering to budgets, and ensuring strong team participation.

 

Swag & Inventory Management

  • Own and manage the swag portal, ensuring inventory levels meet event needs.
  • Track swag usage, proactively place orders, and manage distribution for events and internal requests.
  • Maintain an organized system for managing and replenishing event materials.
  • Build and manage the annual swag budget, working cross-functionally for full network alignment.

 

Budget & Project Management

  • Support the creation of the annual event budget based on event participation and needs.
  • Track and manage event budgets, expenses, and cost optimization.
  • Maintain detailed event reports, including cost analysis, ROI tracking, and performance metrics.
  • Ensure all deadlines and deliverables are met through strong project management.
  • Coupa invoice processing for the department.

 

Communication & Collaboration

  • Serve as the main point of contact for all event-related inquiries and planning.
  • Work closely with Marketing, Talent Acquisition, Business Development, and Leadership teams to align event goals with business priorities.
  • Coordinate and lead internal and vendor meetings, keep organized agendas, and proactively build task force teams per event needs.
  • Develop network-wide event communications to keep stakeholders informed.
  • Provide post-event reports, key learnings, and recommendations for continuous improvement.
  • Track ROI and leads and build event support marketing assets.
  • Work with the Communications team to support social media strategy to feature event participation on network channels.

Qualifications & Skills:

  • 2-5 years of experience in event planning, conference coordination, or marketing.
  • Strong project management skills with the ability to juggle multiple deadlines.
  • Experience managing booth logistics, travel arrangements, and exhibitor coordination.
  • Experience with smaller, intimate professional events to build connectivity amongst prospective partners and team members.
  • Proficiency in Asana (or other project management software), budgeting, swag management software, and SharePoint
  • Strong ability to communicate and collaborate with cross-functional teams.
  • Detail-oriented, proactive, and able to work independently in a fast-paced environment.
