Bid Coordinator 

The Bid Coordinator plays a crucial role in connecting our dynamic Estimating, Business Development and Sales Executives Teams. The Bid Coordinator will report directly to the Director of Estimating. Key duties and responsibilities include, but are not limited to the following: 

Education 

  • Bachelor's Degree or Diploma in Construction Management, Engineering or Business Management. 

Years of Experience 

  • Minimum 1 year in administration and/or experience in a construction working environment. 

Junior Level 

  • Understanding of Construction Project Documents, including Invitations to Bid, Bid Forms, Architectural Drawings, Specifications and Scope of Work; 
  • Able to grasp new concepts and apply them;
  • Proficient with Microsoft Office, specifically Microsoft Excel and Word; 
  • Discretion, judgement and tact to handle confidential information; 
  • Motivated and proactive individual with exceptional communication and interpersonal skills; and
  • Build and maintain strong client relationships, effectively addressing their needs and concerns with professionalism and care. 

Job Specific Duties

  • Maintain a tracking system for Estimating and Business Development tasks; 
  • Act as a primary point of contact between Estimating, Business Development and Sales Executives; Facilitate clear and effective communication to ensure accurate and timely information flow; 
  • Manage incoming emails; Ensure they are efficiently organized and promptly flagged for the attention of the Business Development team; 
  • Assist with scheduling Project Launch Meetings; 
  • Prepare and submit samples upon request; 
  • Communicate with team to ensure deadlines are met and notify stakeholders of any delays;
  • Monitor project progress and address any issues or discrepancies promptly; 
  • Provide detailed reports and updates to management on project status and outcomes; 
  • Ensure all estimates are accurate and align with sales goals and client expectations; and 
  • Review and complete any applicable bid packages; Finalize and submit bid packages.
