About the role 

 

This front-desk position is responsible for supporting quality work orders and handling a variety of administrative tasks. As the first point of contact, the role includes operating a multi-line switchboard, greeting visitors, directing calls, taking messages, and responding to client inquiries. The position plays a key role in maintaining the professionalism, efficiency, and accuracy of Branch Services, with a strong focus on providing exceptional client service.

 

Key Responsibilities:

  • Enter internal workorders based on instructions from our Quality Control group;
  • Make edits, as requested, to workorders for samples are in transit from one of our branch labs or in progress in the lab. Edit sample ID’s, insert/remove tasks, adjust flagging, insert triggers, etc.
  • Support all ALS Branch labs by instructing/assisting them with their inquiries;
  • Monitor client results and email instructions to the appropriate branch labs to create workorders based on client specific thresholds that require re-analysis;
  • Organize samples that need to be re-analyzed in the Vancouver lab and locate/request necessary boxes from the warehouse;
  • Maintain a spreadsheet for locations of samples requested locally or from an ALS Branch lab that requires re-analysis in the Vancouver lab;
  • Assist Client Services Department in creating turnaround time reports, weekly reports and/or any other reports as assigned;
  • Edit or create CPT’s as required;
  • Check CPT’s and quotations from Client Services;
  • Transfer client data and uploading reports from outside labs;
  • Identify internal/external problems as they arise;
  • Enter workorders into the ALS LIMS system based on client requests or information received from Client Service or ALS branch labs;
  • Maintain a positive work environment through active team participation and a good attitude, focused on quality customer service;
  • Operate a multi-line switchboard, directing calls and taking messages when necessary;
  • Greet all internal and external customers courteously, determine their needs, and direct them to the proper person;
  • Process a variety of paperwork including filing and sorting faxes;
  • Collate finalized Certificates and Invoices;
  • Receive, sort, log and distribute all incoming mail or packages from the Post Office, courier/messenger services, and walk in deliveries in a timely manner;
  • Sort and log all outgoing mail;
  • May assist with booking in house meeting rooms;
  • Responsible for ensuring that the copy machines and cabinets are stocked at all times;
  • Observe established safety regulations and comply with all ALS health and safety policies and procedures;
  • Other duties as assigned.

About you:

  • Strong customer service focus, interpersonal and organizational abilities;
  • Pleasant and professional telephone manner;
  • Excellent English communication skills both written and verbal;
  • Excellent computer skills including Word/Excel/Powerpoint;
  • Ability to effectively handle escalations and time critical issues;
  • Detail oriented individual with a strong commitment to quality and safety;
  • Ability to effectively handle a high volume of work and time critical issues;

Required Qualifications:

  • Completion of an office administration certificate or diploma or equivalent experience in an office or reception environment would be an asset;
  • Background in Chemistry and/or Geology would be an asset.

Physical Demands:

  • Able to sit at a desk and do general office work, which includes periodic sedentary responsibilities;
  • Able to perform repetitive tasks including data entry, bending and reaching;
  • Able to use and view a computer screen for up to 7.5 hours per day.
