Shift Hours: Monday to Friday; 8:00am - 4:30pm

SUMMARY

The Risk Coordinator plays a key support role within the Risk Management team by ensuring effective administration and documentation of health and safety, environmental, food safety, security, insurance, and compliance programs. This position ensures that processes are followed, records are complete, and performance metrics are tracked, enabling data-informed risk mitigation and regulatory compliance across the organization.

 

PRIMARY RESPONSIBILITIES

  • Administer documentation for the company’s health and safety programs, including SharePoint updates, safety meeting records, and inspection schedules.
  • Track safety training completions, incidents, and corrective actions.
  • Support the Safe Worker Award Program through eligibility verification and recognition tracking.
  • Monitor and maintain environmental records (e.g., spills, hazardous waste disposal).
  • Assist in coordinating environmental inspections and audits.
  • Support compliance efforts with provincial and federal environmental regulations (e.g., MOECC, ECCC).
  • Maintain food safety documentation related to food safety program, CFIA, and other regulatory bodies.
  • Track food safety incidents, ensuring corrective actions are logged and followed up.
  • Monitor compliance related to reefer temperature logs, trailer washouts, and load seal verifications.
  • Maintain records related to key/fob access, gate activity, and alarm logs.
  • Assist in investigations of security incidents (e.g., theft, trespass) by gathering data or footage.
  • Support the development and implementation of site-specific security protocols.
  • Organize and prepare documentation for internal, customer, and third-party audits.
  • Coordinate audit-related follow-up and track corrective actions across all areas of the Risk Department.
  • Assist with regulatory and policy compliance initiatives as directed.
  • Administer onboarding and compliance tracking for third-party carriers using RMIS or internal systems (e.g., SharePoint).
  • Maintain records for agency workers, ensuring safety training, certifications, and orientation documentation are up to date.
  • Assist in issuing certificates of insurance and compiling documentation for annual insurance renewals.
  • Maintain organized records to support external reviews and insurance-related inquiries.
  • Maintain centralized databases and logs related to incidents, inspections, audits, and compliance programs.
  • Generate routine and ad hoc reports for internal stakeholders on safety, food safety, environmental, and risk performance metrics.
  •  Schedule meetings, prepare agendas, and record meeting minutes for Risk and Safety team functions.
  • Assist in the development and distribution of internal communications such as safety bulletins, SOP updates, and awareness campaigns.
  • Support the coordination of new hire safety orientations and refresher training sessions.
  • Contribute to cross-functional projects by conducting research and assisting with document drafting.

 

REQUIREMENTS/QUALIFICATIONS

  • Preferred minimum one-year administrative experience in transportation safety and compliance.
  • Familiarity with relevant current and pending Government Regulations in the industry such as Ministry of Transportation Ontario, Canada Labour Code, U.S. Federal Motor Carrier regulations.
  • Completion of post-secondary school is required.
  • Possess an understanding and working knowledge of MS Office suite to include Excel, Word, and Outlook.
  • Excellent written and spoken communication skills.
  • Ability to understand and analyse complex information and present it simply and accurately.
  • Attention to detail.

 

WORKING CONDITIONS

  • Monday through Friday, 8:00am to 4:30pm.
