Your Role
Under the supervision of the Coordinator of the Community Service Program, the incumbent is responsible for answering, screening, and directing all incoming calls and providing general information. They are also responsible for the administrative and clerical management of all participant files. They work closely with the Montréal service point to ensure the harmonization of practices.
The Challenge We Offer You:
- Answer calls and welcome program participants.
- Schedule appointments for program participants.
- Enter data for new service requests.
- Manage incoming files up to the appointment stage, including 72-hour appointment calls.
- Process requests for schedule changes from fine collection offices.
- Oversee the management of incoming files and those transferred to other jurisdictions.
- Digitize and forward closed files to the respective courts on a continuous basis.
- Verify invoiced files weekly and process monthly billing.
- Print and send billing reports at the end of each month.
- Maintain statistics on the number of files received and closed each month.
- Follow up on expired DDS with collection offices.
- Receive and distribute faxed mail and handle outgoing mail.
- Assist in tracking hours worked with community organizations.
- Ensure compliance with the program’s contractual obligations under the service agreement.
- Replace placement agents when needed.
- Perform any other related tasks.

The Candidate We Are Looking For
To successfully fulfill this role, the agent must:
- Have a College diploma in administration or equivalent (an asset).
- Have experience in a community setting (an asset).
- Have strong computer skills (Windows environment, Outlook, Word, Excel, PowerPoint, internet, etc.).
- Have a good ability to communicate and write in English (an asset).
- Have no criminal record related to the position.
